Setting Up Email Autoresponders

ℹ️ This guide is for the email included with your hosting plan (cPanel, DirectAdmin, Plesk or Webuzo). It does not apply to Business Email, which runs on a separate platform and has its own webmail at mail.yourdomain.com:8443. Not sure which you have? Setting Up Email Autoresponders

Send automatic replies when someone emails you — useful for vacations, confirmations, or business hours.

In cPanel

  1. Go to Autoresponders
  2. Click Add Autoresponder
  3. Configure:
    • Character Set: UTF-8
    • Interval: Hours between auto-replies to same sender (e.g., 8)
    • Email: Select the address
    • From: Your name
    • Subject: Auto-reply subject line
    • Body: Your message (HTML supported)
    • Start/Stop: Optional date range
  4. Click Create

In DirectAdmin

  1. Go to E-Mail ManagerAutoresponders
  2. Click Create Autoresponder
  3. Fill in the message and settings
  4. Save

In Plesk

  1. Go to Mail → select account → Auto-Reply
  2. Enable auto-reply
  3. Set your message and schedule
  4. Save

Best Practices

  • Set a reasonable interval (8-24 hours) to avoid spam
  • Include when you will be available
  • Provide an alternative contact for urgent matters
  • Enable date range for vacation responses
  • Disable when you return

Tips

  • Autoresponders do NOT reply to mailing lists or spam
  • Test by sending yourself an email from a different address
  • Some email clients show autoresponders as separate conversations
