How to test email deliverability for your own website

"Deliverability" means your mail reaching the recipient's inbox, not just leaving your server. Mail can be sent successfully and still land in spam, or be silently dropped. This guide shows how to test your own domain's mail properly, read the results, and fix the usual causes, whether you send from a mailbox on Domain India hosting, from a website contact form, or from Business Email.

1. What decides whether mail reaches the inbox

Receiving servers such as Gmail and Outlook ask three questions about every message:

Is it really from you?
SPF, DKIM and DMARC records in your domain's DNS prove that the sending server is allowed to send for your domain.
Is the sender trusted?
The reputation of your domain and of the sending server's IP address, built up from past mail and spam complaints.
Does it look like spam?
Content, links, attachments, and whether recipients open it, reply or mark it as spam.

Gmail and Yahoo now require bulk senders to have SPF, DKIM and DMARC in place and to offer one-click unsubscribe, and every large provider treats unauthenticated mail with suspicion. Authentication is the part you control completely, so test it first.

2. Test with a scoring service

A scoring service gives you an address to send to and then grades the message it receives.

  1. Open a test service.
    mail-tester.com shows a one-time address and gives a free score out of 10 for a few tests a day.
  2. Send a normal message
    to that address from the mailbox or contact form you want to test. Use a realistic subject and body, not "test".
  3. Read the report.
    It checks SPF, DKIM and DMARC, whether the sending IP is on common blocklists, and spam-filter scores for the content.
  4. Fix the red items
    and send again until the score stops improving.

3. Test with real mailboxes and read the headers

Scores are a guide; real inboxes are the proof. Send the same message to a Gmail address and an Outlook.com address you own, then:

  • Check where it landed: Inbox, Promotions, or Spam/Junk.
  • Read the authentication results. In Gmail, open the message, click the three-dot menu and choose Show original. The top of the page shows SPF, DKIM and DMARC with PASS or FAIL. In Outlook.com, open the message's source or headers and look for the Authentication-Results line.

4. Check your DNS records

On cPanel, open Email › Email Deliverability. It lists each domain, says whether SPF and DKIM are valid, and shows the exact records to add if they are missing or wrong. If your domain's DNS is managed at our hosting nameservers, it can install them for you; if your DNS is elsewhere (for example Cloudflare), copy the records into that DNS provider.

On Business Email, DKIM signing is on for every message, and the SPF and DMARC records to publish are provided for your domain.

One SPF record only

A domain may have only one SPF record. Two TXT records starting v=spf1 make both invalid, and a common cause is adding a newsletter service's record next to the existing one. Merge them into a single record, for example v=spf1 +a +mx include:your-newsletter-service ~all, using the include your service documents.

Add a DMARC record at _dmarc.yourdomain.com once SPF and DKIM pass. Start with monitoring only, v=DMARC1; p=none; rua=mailto:[email protected], read the reports for a few weeks, then move to p=quarantine. The full walkthrough is in SPF, DKIM and DMARC and setting up DMARC.

5. Test your website's contact form too

Mail sent by your website follows a different path from mail sent by your email app, so test it separately. Common problems:

  • The From address is a visitor's Gmail address. Your server is not allowed to send as gmail.com, so DMARC fails. Send from an address on your own domain and put the visitor's address in Reply-To.
  • The envelope sender is the server's default user. On cPanel, use PHP mail() with the -f option so the envelope sender is your own address. SMTP from PHP does not work on our cPanel servers because the socket functions it needs are disabled. See PHP mail settings and PHPMailer for contact forms.
  • WordPress forms often use the same settings; check the plugin's "From" field.

Send a test submission to mail-tester.com and to your own Gmail, and read the headers as in section 3.

6. Check blocklists and reputation

If authentication passes and mail still goes to spam or bounces, check the sending IP address against blocklists with MXToolbox's blacklist check. The IP is in the Received headers of a message you sent, or ask support.

On shared hosting, the sending IP is shared by the server. You can't request delisting of a shared server IP yourself; if a test shows it listed, open a ticket with the report and we will look at it. 7. Content and sending habits

  • Write like a person. Avoid all-caps subjects, rows of exclamation marks, and messages that are one big image.
  • Link carefully. Link only to your own domain or well-known sites, and never use link shorteners in business mail.
  • Send to people who expect it. Mail to old or bought lists produces bounces and spam complaints, which damage reputation faster than anything else.
  • Stay within limits. Shared hosting is not for bulk mail: outgoing mail is limited to 200 messages per hour per account on cPanel and 1,000 per day on DirectAdmin. Use a newsletter service for campaigns and include it in your SPF record. See do you limit the amount of mail I can send.

8. A simple routine

Test after every DNS change, after adding any service that sends as your domain, after moving hosting, and once every few months anyway. Keep the mail-tester result and the Gmail headers from a good test, so you can compare when something changes.

How can I test whether my emails go to spam?

How do I see SPF and DKIM results in Gmail?

Why does my mail fail DKIM?

Usually the domain has no DKIM record, or the record in DNS is an old key. On cPanel, Email Deliverability shows the correct DKIM record for your domain; copy it to wherever your DNS is managed.

Can I have two SPF records?

No. A domain may have only one SPF record, and two make both invalid. Merge all your senders into one record starting v=spf1.

Why do my contact form emails go to spam?

Often because the form sends with the visitor's address in From. Send from an address on your own domain, put the visitor's address in Reply-To, and on cPanel use PHP mail() with the -f option.

What if the server IP is on a blocklist?

On shared hosting the sending IP belongs to the server, so open a support ticket with the blocklist report and we will look at it. You cannot request delisting of a shared server IP yourself.

How many emails can I send from shared hosting?

Outgoing mail is limited to 200 messages per hour per account on Domain India cPanel servers and 1,000 per day on DirectAdmin. Use a newsletter service for bulk mail.
