How to Configure Email in Microsoft Outlook
Microsoft Outlook is one of the most popular desktop email clients. This guide walks you through setting up your Domain India email account in Outlook using IMAP (recommended) or POP3.
Before You Begin
You will need the following information:
- Email address: your full email (e.g., [email protected])
- Password: the password set when creating the email account
- Incoming server: mail.yourdomain.com
- Outgoing server (SMTP): mail.yourdomain.com
Tip: If you are unsure of your server settings, check the Mail Server Settings article for complete details.
Setup in Outlook 2019/2021/Microsoft 365
- Open Outlook and go to File > Add Account.
- Enter your email address (e.g., [email protected]) and click Connect.
- Outlook may try to auto-configure. If it fails, select Let me set up my account manually and click Connect.
- Choose account type: Select IMAP (recommended) or POP3.
- Enter Incoming Mail settings:
- Server: mail.yourdomain.com
- Port: 993 (IMAP with SSL) or 995 (POP3 with SSL)
- Encryption method: SSL/TLS
- Require logon using SPA: Unchecked
- Enter Outgoing Mail (SMTP) settings:
- Server: mail.yourdomain.com
- Port: 465 (SSL/TLS) or 587 (STARTTLS)
- Encryption method: SSL/TLS or STARTTLS
- Require logon using SPA: Unchecked
- Enter your password when prompted and click Connect.
- Click Done -- Outlook will sync your mailbox.
Setup in Outlook 2016 (Legacy)
- Go to File > Account Settings > Account Settings.
- Click New on the Email tab.
- Select Manual setup or additional server types and click Next.
- Select POP or IMAP and click Next.
- Fill in the form:
- Your Name: Your display name
- E-mail Address: [email protected]
- Account Type: IMAP
- Incoming mail server: mail.yourdomain.com
- Outgoing mail server: mail.yourdomain.com
- User Name: Your full email address
- Password: Your email password
- Click More Settings > Outgoing Server tab:
- Check My outgoing server (SMTP) requires authentication
- Select Use same settings as my incoming mail server
- Click Advanced tab:
- Incoming server (IMAP): Port 993, SSL encryption
- Outgoing server (SMTP): Port 465, SSL encryption
- Click OK, then Next, then Finish.

Troubleshooting
"Cannot connect to server" error:
- Verify the server hostname is correct
- Ensure ports 993 and 465 are not blocked by your firewall or ISP
- Try port 587 with STARTTLS for outgoing mail
"Authentication failed" error:
- Double-check your password (case-sensitive)
- Ensure the username is your full email address, not just the part before @
- Reset your password in the control panel if needed
Emails not syncing:
- If using IMAP, check your folder subscriptions in Outlook
- Verify your mailbox is not over quota in the control panel
Certificate warning:
- This can occur if you are using mail.yourdomain.com without an SSL certificate. Use the server hostname provided in your welcome email instead.
