Best Practices and Tips for Using Popular Email Clients with cPanel & DirectAdmin Panels

An email app such as Outlook, Thunderbird or Apple Mail makes a hosting mailbox much easier to live with, as long as it is set up the right way. This guide covers the habits that keep mail organised, safe and recoverable when your mailbox is on Domain India cPanel, DirectAdmin, Webuzo or Windows (Plesk) hosting. 1. Use IMAP on every device

IMAP keeps your mail on the server and shows the same folders, read status and sent items on your laptop, phone and webmail. POP3 downloads mail to one device and usually removes it from the server, which is why mail "disappears" from the phone once the office PC has collected it.

2. Keep the inbox organised

  • Folders. Create a few folders, such as Clients, Invoices and Archive, rather than dozens. With IMAP, a folder you create in Outlook also appears in webmail and on your phone.
  • Rules that run on the server. Rules you create inside Outlook or Thunderbird usually run only while that app is open. A filter set on the server runs even when your computer is off. In cPanel, use Email Filters (per mailbox) or Global Email Filters (all mail for the account). On DirectAdmin and Webuzo the filter tool sits in the email section of the panel; if you can't find it, ask support.
  • Archive, don't hoard. Move old mail into yearly archive folders. Very large folders make every app slower to sync.
  • Unsubscribe properly. Use the unsubscribe link in newsletters you signed up for. For mail you never asked for, mark it as spam instead, because unsubscribe links in spam can confirm that your address is live.

3. Watch the mailbox size

Every mailbox has a size limit set in your control panel, and the whole hosting account has a disk limit. When a mailbox is full, new mail bounces back to the sender. Check usage in your panel from time to time: in cPanel, Email Accounts shows each mailbox's use, and Email Disk Usage helps you find and clear large folders. Emptying the Trash and Spam folders, and deleting old mail with large attachments, frees the most space.

4. Protect the mailbox

A unique password per mailbox
Use a long password that you use nowhere else, and keep it in a password manager rather than a notebook or a spreadsheet.
Change it everywhere at once
After a password change, update it on every phone, laptop and tablet straight away.
Check links before you click
Phishing mail copies banks, couriers and even your hosting provider. Open the website yourself instead of clicking a link in the message.
Keep apps updated
Update your email app and your operating system. Most security fixes arrive this way.
An old password on one phone can block your whole office

A device that keeps trying an old password causes repeated failed logins, and the server firewall then blocks that network's IP address automatically. Everyone on the same Wi-Fi loses mail at once. Update the password on every device, and if mail stops everywhere on one network, test on mobile data and then contact support.

Two-factor authentication. Turn on two-factor authentication for your Domain India client area, which controls your hosting and domains. Two-factor sign-in for mailboxes is a feature of Domain India Business Email; for mailboxes included with hosting, a strong unique password is the main protection.

Encrypting sensitive mail. Every connection above is already encrypted between your app and our server. For end-to-end encryption of the message itself, Thunderbird has OpenPGP built in (the old Enigmail add-on is no longer needed), and Outlook and Apple Mail support S/MIME certificates. The recipient must use the same method, so this suits a small number of sensitive conversations rather than everyday mail.

5. Keep your own copy of important mail

Domain India takes weekly backups of shared hosting accounts with JetBackup 5 on cPanel and DirectAdmin, on Sundays, keeping five copies, and on cPanel you can restore email yourself from JetBackup in the panel. See Backup and restore with JetBackup. A weekly backup cannot bring back a message that arrived and was deleted between two backups, so keep your own copy of anything you cannot lose:

  • Outlook (classic): File › Open & Export › Import/Export › Export to a file, then choose an Outlook data file (.pst).
  • Thunderbird: use Tools › Export to save a profile backup, or copy the profile folder.
  • Apple Mail: select a mailbox and choose Mailbox › Export Mailbox.

Store the export somewhere other than the same computer, such as an external drive or your own cloud storage. Before you delete an email account in your control panel, export it first: deleting the account deletes its mail on the server.

6. Mail, calendar and contacts on the move

  • Phones and tablets. Add the account with IMAP and the same settings as your computer. Guides: Android and iPhone and iPad.
  • Webmail as a fallback. When you are away from your own device, use webmail: on cPanel https://yourdomain.com/webmail, on DirectAdmin https://yourdomain.com/webmail (Roundcube), on Webuzo https://yourdomain.com/webmail, and on Business Email https://mail.yourdomain.com:8443/. All the options are in how to log in to webmail. Sign out when you finish on a shared computer.
  • Calendars and contacts. On cPanel hosting, Calendars and Contacts shows the CalDAV and CardDAV addresses to add to Apple Calendar, Thunderbird or a phone. For other panels, ask support what is available on your plan.

7. Send like a professional, within the limits

An email app is for everyday conversation, not mass mailing. Shared hosting limits outgoing mail: 200 messages per hour per account on cPanel and 1,000 per day on DirectAdmin. Sending a newsletter to hundreds of contacts from Outlook will hit the limit and can land your mail in spam folders. Use a newsletter service for bulk mail, and see do you limit the amount of mail I can send.

Also add a short, plain signature with your name, company and phone number. Large image signatures are often shown as attachments and push messages towards spam folders.

8. Retire outdated apps

Eudora, which older guides mention, stopped being developed many years ago and does not support modern security. Use a current app that is still updated, such as Thunderbird, Outlook, or Apple Mail on a supported macOS. If your app is years old and cannot connect with SSL/TLS on port 993 and 465, upgrade the app rather than weakening your settings.

Should I use IMAP or POP3 for my hosting email?

Use IMAP if you read mail on more than one device. IMAP keeps mail on the server, so your phone, laptop and webmail all show the same messages and folders. POP3 downloads mail to one device and usually removes it from the server.

What server settings does my email app need?

For mailboxes on Domain India cPanel, DirectAdmin, Webuzo or Windows (Plesk) hosting, use mail.yourdomain.com for incoming and outgoing mail, IMAP on port 993 and SMTP on port 465, both with SSL/TLS, and your full email address as the username.

Why did email stop working for everyone in my office?

A device still using an old password makes repeated failed logins, and the server firewall can then block that network's IP address. Update the password on every device and contact support to check for a block.

Are my emails backed up?

Shared hosting accounts are backed up weekly with JetBackup 5 on cPanel and DirectAdmin, and five copies are kept. Mail that arrives and is deleted between two backups is not in any backup, so export important mail yourself as well.

What happens when my mailbox is full?

New mail to that address bounces back to the sender until you free up space or raise the mailbox size limit in your control panel. Emptying Trash and Spam and deleting old attachments frees the most space.

Can I send a newsletter from Outlook with my hosting email?

It is not a good idea. Outgoing mail on shared hosting is limited to 200 messages per hour per account on cPanel and 1,000 per day on DirectAdmin, and bulk mail from a normal mailbox often lands in spam. Use a newsletter service for bulk mail.

Is Eudora still a good email app?

No. Eudora stopped being developed many years ago and lacks current security support. Use a maintained app such as Thunderbird, Outlook or Apple Mail.
