How to Set Up Email Signature in Webmail

A good email signature tells people who you are and how to reach you, without making every message heavier. On Domain India cPanel and DirectAdmin hosting, webmail is Roundcube, and the signature is set per identity in its Settings. This guide shows how to create a plain-text or HTML signature, add a logo, use different signatures for different addresses, and control where the signature appears in replies.

1. Create a plain-text signature

Plain text looks the same in every mail app and never breaks, so it is the safest choice.

  1. Log in to webmail
    with your full email address and its password.
  2. Open Settings.
    Click Settings in the left-hand menu, then Identities.
  3. Select your identity.
    Click your email address in the list.
  4. Type the signature
    in the Signature box, for example your name, role, business, phone and website.
  5. Click Save.
    The signature is now added to new messages from this address.

Roundcube adds the standard -- separator line above the signature for you. Mail apps use it to recognise the signature and can trim it when quoting.

2. Create an HTML signature

An HTML signature can have bold text, colours, links and a logo.

  1. Open Settings › Identities
    and click your email address.
  2. Switch the signature editor to HTML
    using the HTML toggle on the Signature box. A formatting toolbar appears.
  3. Format it.
    Bold your name, add your role and business on separate lines, and use the link button to make your website and email clickable.
  4. Add a logo if you want one
    (section 3).
  5. Click Save.
Make sure your messages are HTML too

An HTML signature keeps its formatting only in HTML messages. On our servers Roundcube composes plain-text messages by default, which turns the signature into plain text. To keep the formatting, open Settings › Preferences › Composing Messages and set Compose HTML messages to always.

3. Add a logo or image

  1. Upload the logo to your website first, for example to https://yourdomain.com/images/logo.png, and check that it opens in a private browser window.
  2. In the HTML signature editor, put the cursor where the logo should go and click the image button.
  3. Enter the image's full https:// address, a width (about 150 to 200 pixels suits most logos) and alternative text such as your business name.
  4. Click Save in the image dialog, then Save on the identity.

Keep the file small, ideally under 50 KB, and use PNG or JPG. Many recipients' mail apps hide images until the reader allows them, so your name and phone number should always be text, never part of the image.

4. Different signatures for different addresses

Each identity has its own signature. If you send from more than one address, or want a formal signature for one role and a short one for another:

  1. In Settings › Identities, click Create (the + button).
  2. Enter the display name and the email address this identity sends as.
  3. Add the signature for this identity and click Save.

When you write a message, choose the identity in the From field, and Roundcube switches to its signature. Send only from addresses you own: mail that claims to be from an address on another domain is likely to fail SPF and DKIM checks and land in spam.

5. When the signature is added, and where

Open Settings › Preferences › Composing Messages. The signature options there decide how it behaves:

Click Save after any change. Even with automatic signatures off, you can add one while writing a message with the signature button (Insert signature) on the compose toolbar.

6. What a good signature includes

  • Name and role, and the business name.
  • One phone number and your website. Your email address is optional: the recipient already has it.
  • Legal details if you need them. Many Indian businesses add their GSTIN or registered office; check what applies to your business.
  • Four to six lines. Long signatures, quotes and large banners get skipped or trimmed.

Keep to one or two colours and a common font such as Arial or the default, and avoid animated images and large banners.

7. Troubleshooting

The signature doesn't appear. Check that it was saved on the identity you are sending from, that Automatically add signature isn't set to never, and that the right identity is chosen in From.

The logo doesn't show for recipients. Open the image address in a private window: it must load over https:// without a login. Some recipients block images until they choose to show them.

Formatting is lost. The message was sent as plain text. Set Compose HTML messages to always, as in section 2.

Your signature appears twice in a thread. That is usually the quoted copy from an earlier message. Turn on When replying remove original signature from message.

How do I add a signature in Roundcube webmail?
